You Can't Automate a Trade. But You Can Automate Everything Around It.

If you run a trades or construction business in Ireland, you’ve probably had this exact thought:

AI is grand for office people. I fix boilers. I pour foundations. I wire houses. A computer can’t do my job.

And you’re right. It can’t.

No AI is going to hang a door, chase a leak, or second-fix a three-bed semi. The trade itself is safe, and honestly, it’s probably the most future-proof work there is.

But here’s the thing nobody says out loud. Your business isn’t just the trade. It’s everything wrapped around the trade. And that’s where you’re losing your evenings.

The two jobs every tradesman is actually doing

Every sole trader and small contractor I talk to is running two businesses at once:

  1. The trade. The work on the tools. The thing you’re actually good at and actually get paid for.
  2. The office. Quotes, invoices, texts, callbacks, scheduling, chasing payments, supplier orders, safety paperwork, and answering “any update on that quote?” for the fourth time.

Job number one happens between 8am and 5pm. Job number two happens at the kitchen table at 9pm, on a Sunday, or not at all.

When a tradesman tells me “AI doesn’t fit my business,” what he means is “AI can’t do job number one.” True. But AI was practically built for job number two.

Where the hours actually go

Vague advice is useless, so let’s walk through a real week.

Quoting. You do a site visit, take a few photos, scribble measurements on the back of a receipt, and then the quote sits in your head for a week because writing it up is a pain. Meanwhile the customer rings someone else.

With AI: you voice-note the details into your phone on the drive home. “Attic conversion, Maynooth, roughly 20 square metres, needs two Velux, insulation to current regs, customer wants it done before September.” An AI assistant turns that into a clean, professional quote document in your format, with your terms, ready to send that evening. A 90-minute job becomes 10 minutes. The fastest quote wins the job more often than the cheapest one.

Chasing money. You’re owed €4,300 across three customers and you hate ringing them because it feels awkward. So the invoices age.

With AI: polite, firm payment reminder emails and texts get drafted, or sent automatically at 7, 14, and 21 days, in your tone of voice. You never have to compose the awkward message again. You just approve it.

Answering the same messages over and over. “Do you do bathrooms?” “Are you free next month?” “How much roughly for a rewire?” Every one of those interrupts you mid-job.

With AI: a simple assistant on your website or WhatsApp answers the common questions, collects the caller’s name, address, and job details, and drops it into a list for you. You come back to qualified enquiries instead of 11 missed calls.

Scheduling and rescheduling. Rain delays the roof job, which pushes the extension, which means texting four people. With AI helping manage your calendar, one change generates the update messages for everyone affected. You review, hit send, done.

Paperwork and compliance. Method statements, safety statements, RECI or RGI documentation, tender submissions. AI won’t replace your certification, but it will draft the documents in minutes instead of evenings, using your previous ones as the template.

Marketing you never get to. Before and after photos sitting on your phone doing nothing. AI can turn one job’s photos into a Facebook post, a Google review request text, and a line for your website. Ten minutes a week and you’re the trades business that actually shows up online in your area.

What this looks like in numbers

Take a conservative version of the week above:

  • Quoting: 3 quotes x 80 minutes saved = 4 hours
  • Payment chasing and admin messages = 1.5 hours
  • Answering repeat enquiries = 2 hours
  • Paperwork and scheduling shuffle = 2.5 hours

That’s 10 hours a week. Call it 8 if you’re sceptical. That’s a full working day, every week, handed back to you. Spend it on the tools earning, spend it quoting more jobs, or spend it at home. All three beat the kitchen table at 9pm.

”But I’m not a tech person”

You don’t need to be. That’s the part that’s changed in the last two years.

You already use a smartphone, WhatsApp, and probably a banking app. Using AI for your admin is the same skill level. You talk to it or type to it in plain English. “Write up this quote.” “Reply to this customer and tell him Thursday suits.” “Turn these notes into a method statement.”

If you can send a voice note, you can use AI. The tools finally came down to meet you. You don’t have to climb up to meet them.

Where to start (without buying anything)

Don’t overhaul everything. Pick one leak and fix it:

  1. Find your worst admin job. The one you put off the most. For most trades, it’s quoting or chasing payment.
  2. Do it once with AI beside you. Free version of ChatGPT or Claude on your phone. Voice-note the job details, ask it to write the quote in a professional format. Compare it to what you’d have written at 9pm on a Tuesday.
  3. Save what works as a template. Next time takes half as long again.
  4. Then, and only then, look at the next task.

One task, done well, will teach you more than any article. Including this one.

Nobody’s asking you to trust a robot with a nail gun. The trade stays yours.

But the quotes, the chasing, the texts, the paperwork? That was never the job you signed up for. It’s just the job that followed you home.
